A useful Shopify customer service email template gives a reply a clear structure while leaving order facts and policy decisions to verified sources. For AI support, pair each template with instructions about what information is required and when a person should review the message.
The six templates below are starting points for your store’s rulebook. Bracketed fields are placeholders, not promises. Replace them with confirmed information, remove lines that do not apply, and adapt the wording to your actual policies.
1. An order-tracking update
Use when: you have matched the customer to the correct order and have relevant shipment information.
Hi [first name],
I checked order [order number]. The latest available shipment status is [verified status]. You can see tracking updates here: [tracking link].
[If supported: The carrier currently estimates delivery by [date]. That date is an estimate and may change.]
If [your policy-based follow-up condition], reply to this email and we’ll check the next step.
[Store signature]
AI rule: do not invent a carrier, tracking number, or arrival date. If there are multiple shipments, describe them separately. If the order match is uncertain, ask for clarification without revealing another customer’s details.
2. A delayed order that needs investigation
Use when: the verified order or shipment status falls outside the store’s normal processing or investigation window.
Hi [first name],
I’m sorry you’re still waiting for order [order number]. The latest information we have is [verified status]. This needs a closer look from our team.
We’re checking [specific next step, only if assigned]. [Include a follow-up timeframe only if your team can meet it.] We’ll update you when we have confirmed information.
[Store signature]
AI rule: saying that a team is investigating should correspond to a real handoff. Do not repeat a tracking link as the only answer to an unresolved complaint. Do not promise a replacement or refund without approval.
3. A return-policy question
Use when: a shopper asks how your return process works or what information you need to assess their request.
Hi [first name],
For [relevant item or product category], our return policy is [accurate policy summary]. You can read the full details here: [store return-policy link].
To check the next step for your order, please send [only the missing information needed]. [If eligibility has been confirmed: Your next step is [approved return instruction].]
[Store signature]
AI rule: distinguish explaining a policy from approving a return or issuing money. Check relevant dates, exclusions, and conditions. Send requests for exceptions to a person rather than silently changing the policy.
4. A damaged or incorrect item
Use when: a customer reports a problem with the item they received.
Hi [first name],
I’m sorry there’s a problem with [item]. We’d like to help work out the next step.
Please share [information required by your policy, if not already provided]. I’m passing your message to our team so they can review [the reported damage or incorrect item].
[Store signature]
AI rule: read the existing conversation before asking for information again. Do not claim to have reviewed a photo unless the workflow actually supports and has completed that review. Treat a replacement or refund as a separate decision.
5. An order-cancellation request
Use when: a customer asks to cancel, but the action has not yet been confirmed.
Hi [first name],
We received your request to cancel order [order number]. Its current status is [verified order status].
[If review is needed: Our team needs to check whether it can still be cancelled before dispatch.] [If cancellation succeeded: Your order has been cancelled. [Include only verified refund information.]]
[Store signature]
AI rule: choose the branch that matches the actual outcome. A generated reply does not cancel an order. Never say a cancellation or refund has completed simply because the customer requested it or the action was attempted.
6. A product question with missing information
Use when: a shopper needs information that is not fully covered by the approved product material.
Hi [first name],
For [product], the information we can confirm is [relevant product fact]. To answer your question about [specific topic], we need [clarification or a check with the team].
[Ask one useful clarification question, or explain the handoff.]
[Store signature]
AI rule: use approved product facts. Do not guess sizing, compatibility, ingredients, or certifications. A precise clarification question is more useful than an answer that sounds certain without evidence.
Turn templates into an AI support rulebook
Templates alone do not define a workflow. For every category, document the trigger, required information, permitted actions, review conditions, and preferred reply structure. If you cannot state what should happen when data is missing, that category is not ready for automatic sending.
- Tone: define greeting, level of formality, signature, and any phrases to avoid.
- Facts: specify which source supplies each order or policy detail.
- Boundaries: state which promises, discounts, or actions require approval.
- Handoff: identify the reason for review and what the customer should be told.
- Maintenance: assign someone to update rules when policies or products change.
Review examples that combine several topics. A customer might ask for tracking and a cancellation in the same email; a reply that uses the tracking template and ignores the cancellation is incomplete.
Using these templates with Respondro
Respondro uses your custom rulebook and Shopify order context to generate customer service email drafts. Add your policies and tone guidance, then use the Review Board to assess and edit the results. Confirm how a template behaves in real draft examples before enabling automatic replies on an eligible plan.
Use the Shopify automation workflow checklist to plan your rollout and the WISMO guide for order-status handling. Book a demo to see how Respondro applies your store policies to support replies.
Adapt email replies for Facebook and Instagram
A detailed email reply may include information that does not belong in a public comment. Use our social customer-service reply templates for Shopify for product questions, delivery complaints and private handoffs.
